What to prepare before contacting a bookkeeper

Turn a broad request for help into a useful first conversation about scope, software, timing and communication.

A clear first enquiry makes it easier for a bookkeeping business to explain whether it can help. You do not need a perfect brief. A short description of your business, current setup and immediate priorities is a useful place to start.

Describe the work in plain language

Write down the tasks you want help with. Perhaps your records need organising, you want a regular reporting routine, or your team needs support using its existing software. Separate the immediate problem from work you would like someone to handle regularly.

Explain what is already being done by you, your staff or another adviser. That helps you discuss responsibilities without assuming the new provider will take over everything.

Outline your current setup

Name the accounting software and any related systems you use. Mention whether your work is mainly online, onsite or a mixture. Ask whether the business supports your particular software edition and integrations; a software name on a profile is only a starting point.

Use the first enquiry to arrange a conversation. Do not include passwords, client records or financial documents in a directory form. If a provider needs records to assess the work, agree a suitable way to share them directly.

Ask about scope and pricing

Ask the provider to explain the work included in its proposal, how often it will be done and what information it needs from you. Discuss whether pricing is fixed, hourly or based on an agreed package, and how additional work will be approved.

Useful questions include: Who will be my contact? What turnaround should I expect? How do you handle questions between scheduled updates? What happens if the work turns out to be larger than expected?

Compare the responses

Compare proposals against the same description of your needs. Look at the work included, responsibilities, communication arrangements and timing alongside the price. Clarify anything that is vague before agreeing to proceed.

You can browse bookkeeping services or search the directory to find businesses to contact. Confirm current availability and relevant credentials directly; appearing in the directory is not a guarantee of suitability.
