Count users by role, not by habit

List everyone who needs their own login and what they should be allowed to do. Ask whether the quote accommodates your bookkeeper separately from business users. Test a staff member’s restricted view before adopting a process that depends on it.

Build a complete monthly cost

Request the normal ongoing price for accounting, payroll and essential connected tools. Add setup and training to the first-year total. If you plan to hire, ask for a second quote at the expected headcount so an introductory offer does not hide a later step-up.

Check the handover, not just the import

Agree who owns the subscription, who receives billing notices and how the business retains access if it changes bookkeepers. Before closing an old file, reconcile balances and test access to the reports and attachments the business still needs.

BEFORE YOU DECIDE

Your questions, answered.

Does an old QuickBooks file belong in this comparison?

Confirm the product name, edition and supplier before planning a move. This page covers the current Australian online products, so an older desktop file requires a separate conversion assessment.

Can I keep my payroll separate?

Ask your bookkeeper to explain the proposed accounting and payroll arrangement, how totals are reconciled and who supports each part. Do not assume the accounting subscription includes the payroll service you need.
